Key Risks of Considering Open Source ERP

The cost effectiveness and modular design associated with an Open Source ERP can be quite attractive when compared to traditional ERP systems from solution providers like Microsoft, Oracle, or others.  What are the risks associated with jumping on the Open Source bandwagon?


Small to mid-sized companies with limited internal resources should be aware of the potential risks associated with jumping on the Open Source ERP bandwagon?


1. High Hidden Costs & Maintenance

While open-source software typically eliminates upfront licensing fees, the Total Cost of Ownership (TCO) can quickly spiral.  Companies often underestimate the expenses tied to custom development, database management, hardware, and ongoing security updates. When version upgrades are released, highly customized open-source code can break, requiring technical support which may include expensive developer hours to fix. 


2. Lack of Dedicated Vendor Support

Unlike proprietary software (such as SAP, Oracle, or Microsoft Dynamics) that includes 24/7 technical support and service-level agreements, open-source ERP systems usually rely on community forums or paid third-party contractors. For businesses that experience mission-critical system downtime, waiting on a community response or relying on external contractors can lead to costly operational delays.


3. Need for Deep Internal IT Expertise

Implementing and maintaining an open-source ERP is not a plug-and-play process. It can require an in-house IT team with relevant ERP deployment experience. If your organization lacks developers who can manage system modifications, database issues, and complex bug fixes, you will become heavily reliant on costly external specialists or consultants.


4. Security Risks

As an open-source platform, depending upon the database can be a frequent target for cyber threats. Security risks arise directly from unsecured database connections, weak password authentication, improper role-based access controls, or unvetted community modules.


5. Data Migration

One of the most important tasks in any system upgrade is the ability to migrate data from the existing ERP to the new ERP.  This requires an understanding of source and target data tables to be able to map existing fields to the new data models.  It might also require understanding data validation rules that were used in the legacy system that might need to be incorporated into the new open source model.  These challenges are not unique to open source projects but often come with limited documentation and / or technical support.


6. Integration Challenges with Third-Party Apps

Commercially available ERP suites typically include seamless, out-of-the-box integrations with common business applications or they may have a broad network of partners that offer complementary integrated services for key non-ERP functionality such as CRM, Payroll, Demand Planning, Transportation, etc.) Open-source systems may require custom API builds and manual data integration, increasing implementation timelines and the risk of system incompatibility. 


7. Slower Adoption of Industry "Best Practices"

Proprietary ERP vendors invest heavily in researching and developing industry-specific workflows and regulatory standards. Open-source developers tend to focus on replicating basic features that sell well. As a result, you might find that open-source ERPs lack the advanced, optimized "best practices" that proprietary systems inherently build into their architecture, requiring your business to spend resources developing those improvements from scratch.
